Settle, Top-up, Withdraw 💸

In the Balance screen, you can view and manage your settlements, top-ups, and withdrawals. Here’s how each function works and what you need to set up before you can start using them.

Settlement

Settlements refer to the automatic or manual transfer of your available balance to your bank account.

Before your funds can be settled, you need to set up a Settlement Method:

  1. Navigate to Payment Methods in the left menu.
  2. Select your Payment Type. If the currency is AUD, the options are PayID or BSB and Account Number. In case of other currencies, your local bank account is required.
  3. Choose your Balance Settlement Option:
    • End of Day: Your balance is automatically settled at the end of the day (e.g., 11 PM).
    • On-Demand: Initiate settlement anytime as needed.

Note that a settlement fee may apply each time funds are swept to your bank. For businesses that require more immediate access to their funds, Real-Time Settlement can be enabled. Contact Hello Clever Support to enable this feature.

Real-Time Settlement is an optional service, and additional fees may be applied each time funds are transferred to your bank in real-time. Contact Hello Clever Support for more details.

Settlement Details

The Settlement Details section can be opened by clicking on a Settlement record. It provides a comprehensive overview of each settlement transaction. Here, you’ll see:

  • Outgoing: The total amount being settled, excluding the rolling reserve for refunds or chargebacks.
  • Fees: Any applicable fees deducted from the outgoing amount.
  • Total: The net amount after fees.
  • Status: Indicates whether the settlement is completed (Done) or pending.
  • Date: The timestamp of when the settlement was initiated.
  • Balance ID: A unique identifier for each settlement transaction.
  • Reference: The reference code for tracking purposes.

Note: The total settlement amount displayed does not include the rolling reserve withheld for potential refunds or disputes.

In addition, the Recipient section provides the details of the bank account where the settlement funds are being sent, including:

  • Method: The payment method used for the settlement (e.g., BSB/Account No).
  • Detail: The bank account details of the recipient.

The Transaction List below the settlement summary displays individual transactions included in the settlement, with columns for:

  • Balance ID: A unique identifier for each transaction.
  • Site: The site or store associated with each transaction.
  • Status: The transaction status (e.g., Done, Pending).
  • Method: The payment method used.
  • Date: The date and time of each transaction.
  • Amount: The transaction amount, with debits and credits indicated.

Top-up

Top-ups allow you to add funds to your Hello Clever account. You can top up using PayID or a virtual BSB/Account Number. For users with multiple currencies, top-ups can be made through a Virtual Named Account in the relevant currency.

To top up, use the top-up methods provided in the Payment Method section.

Withdraw

Withdrawals allow you to transfer your available balance to your linked bank account. Before you withdraw, ensure that a Settlement Method is set up, as outlined above.

  1. Go to the Balance screen and click Withdraw.
  2. Enter the amount you wish to withdraw (minimum $10).
